Yes, HubSpot connects to WhatsApp natively, but only on Marketing Hub or Service Hub Professional or Enterprise. The native channel puts WhatsApp chats in the conversations inbox, logs them on contact records and lets your team send approved templates. If you’re on a lower tier, or you need features the native channel doesn’t have, a HubSpot App Marketplace app is the other route. This guide covers what each option needs, what it costs as of October 2026, and the limits teams usually find after go-live.
Most of my clients are in Saudi Arabia and the Gulf, where WhatsApp is often the main sales channel. The question is rarely “can we connect it?” It’s usually “how do we get WhatsApp chats into the CRM without losing the number, the history or the reps’ habits?” That’s the question this guide answers.
What the native HubSpot WhatsApp integration does
The native integration connects a WhatsApp Business Account to HubSpot as a channel in the conversations inbox (or the help desk). According to HubSpot’s setup guide (last updated July 21, 2026), once it’s connected:
- Every incoming WhatsApp message opens a thread in the inbox, where the conversation can be assigned to an owner like any other channel.
- Reps can start a WhatsApp conversation from a contact, company, deal or ticket record.
- When the sender’s number exactly matches a contact’s Phone number or Mobile phone number, the conversation is logged on that contact’s timeline automatically.
- Message templates created in your WhatsApp Business account sync to HubSpot and can be personalised.
- WhatsApp message details are stored in conversation properties, which you can use in workflows and reports.
The integration runs on the WhatsApp Business Platform (the API), not on a personal account. HubSpot says plainly that you can’t connect a personal WhatsApp account. You must use a WhatsApp Business account.
Requirements before you connect
Check these before you start. The setup happens partly inside a Meta window, so errors at this stage are usually Meta-side problems, not HubSpot ones.
- HubSpot subscription: Marketing Hub Professional or Enterprise, or Service Hub Professional or Enterprise.
- Meta access: admin permission on your company’s Meta Business Manager.
- Business verification: without a verified Meta business, you’re limited to 50 business-initiated conversations per day.
- The phone number: it must be able to receive voice calls and must not sit behind an IVR. For a standard connection, it must not be connected to any other WhatsApp account, app or integration.
- Business details: legal company name, WhatsApp display name, website URL and a business email.
Each WhatsApp Business Account can hold up to 25 phone numbers, which helps if you route regions or product lines to separate numbers.
WhatsApp coexistence: one number in the WhatsApp Business App and HubSpot
Teams most often get stuck on the standard connection. With a standard connection, messages stop appearing in the WhatsApp mobile and web apps and live only in the HubSpot inbox. Old conversations don’t sync either. For a sales team that lives in the WhatsApp Business App on their phones, that’s a hard change.
Coexistence fixes this. According to HubSpot’s coexistence guide (last updated July 30, 2026), you can use the same WhatsApp Business number in the WhatsApp Business App and in HubSpot at once. Messages sync both ways in real time. It’s available on the same Pro and Enterprise tiers and needs a HubSpot Super Admin to connect it.
What to know before you choose it:
- HubSpot imports the last 180 days of conversation history. Images and videos aren’t backfilled; they show as placeholders.
- Free-text messages sent from the phone don’t count toward WhatsApp limits. Only template messages sent from HubSpot count.
- Meta doesn’t allow template messages to be sent from the phone, so re-engaging a cold contact has to happen in HubSpot.
- Voice notes can’t be sent from the HubSpot inbox yet. Reps can still send them from the phone, and they appear in the HubSpot thread.
- Coexistence numbers have a maximum send rate of 20 messages per second.
- If you connect to the help desk, each backfilled conversation creates a new ticket. Plan for a burst of tickets on day one.
For most Gulf sales teams I’d start with coexistence. Reps keep their workflow, and the CRM still gets every conversation.
What it costs (as of October 2026)
There are two cost layers: the HubSpot subscription that unlocks the channel, and Meta’s charges for messages your business sends.
HubSpot: 1,000 template messages per month
There’s no separate WhatsApp add-on to buy; the native channel comes with the Pro and Enterprise tiers above. HubSpot sets a limit of 1,000 template messages per month, shared by all your connected WhatsApp business accounts. It resets on the day of the month your Marketing Hub or Service Hub subscription started. HubSpot doesn’t charge for free entry point conversations (see below).
Meta: per-message pricing
Meta’s WhatsApp Business Platform pricing page (updated September 30, 2026) sets out the current model:
- Since July 1, 2025, Meta charges per delivered message from a business to a user. Messages from users to your business are free.
- Rates depend on the message category (marketing, utility, authentication, service) and the recipient’s country. Saudi Arabia and the UAE each have their own rates on Meta’s rate card.
- From October 1, 2026, Meta charges for service messages again (non-template replies inside the 24-hour window). Each business phone number gets 1,000 free service messages per month, and charging starts at the 1,001st.
- If someone messages you from a Click-to-WhatsApp ad on the mobile app and you reply in time, a free entry point window opens for up to 7 days. Meta doesn’t charge for marketing, utility, authentication or service messages in that window.
Rates change on a quarterly calendar, so I don’t quote per-message prices here. Check Meta’s rate card for your markets. If you run Click-to-WhatsApp ads, the free entry point window is worth planning around, and so is feeding WhatsApp lead stages back to Meta ads so the campaigns learn which chats turn into customers.
Limits teams hit after go-live
- Unknown visitors. Contacts are matched only on an exact phone number. If your forms store “05x…” and WhatsApp sends “9665x…”, the chat lands as an unknown visitor. Store numbers in international format from the start.
- The 24-hour window. You can reply freely for 24 hours after the contact’s last message. After that, you need an approved template to restart the conversation.
- Unsupported message types. Reactions, deleted messages, polls, some attachment formats and quarantined messages don’t show up in the inbox.
- No history on a standard connection. Only new messages sync. Coexistence is the way to get the last 180 days.
- No qualification. The native channel moves conversations into HubSpot, but it doesn’t qualify leads or reply out of hours. For that, you can automate first replies with an AI agent that writes its answers back to the CRM.
Native integration vs marketplace apps
The HubSpot App Marketplace lists third-party WhatsApp apps. Their features, pricing and Meta setup differ from app to app, so read the right-hand column as a checklist of questions to ask, not a list of promises.
| Question | Native HubSpot integration | Marketplace app (check per app) |
|---|---|---|
| HubSpot tier needed | Marketing Hub or Service Hub Pro/Enterprise | Check the listing; may work on lower tiers |
| Keep the WhatsApp Business App on the same number | Yes, with coexistence | Ask whether the app supports coexistence |
| Conversation history | Coexistence: last 180 days; standard: none | Ask what is imported, and where it is stored |
| Where chats live | HubSpot inbox / help desk, contact timeline | Ask whether chats are logged on the contact record or only in the app’s own inbox |
| Cost lines | HubSpot subscription + Meta message charges | App subscription + Meta charges + any provider markup |
| Who supports it | HubSpot and Meta | The app vendor, then Meta |
| Data processing | Meta is a sub-processor under HubSpot’s DPA | Review the vendor’s data processing terms |
My rule of thumb: if you’re already on Pro or Enterprise, start native with coexistence. It’s one less vendor, one less inbox and one less sync to debug. Look at an app if you’re on a lower tier and not upgrading, or if you’ve found a specific gap the native channel can’t fill. In that case, make sure the app writes conversations to the contact record, not only to its own inbox.
Before you choose: map where WhatsApp leads come from
Whichever route you choose, write down how leads arrive first. Common sources are a website button, a Click-to-WhatsApp ad, a number printed on an invoice, or a rep’s personal phone. Then decide what HubSpot should record for each one. Website clicks need their own tracking (here’s how I approach measuring WhatsApp clicks from your website), and CTWA chats need the ad click ID kept with the contact.
I set up HubSpot and WhatsApp journeys for clients as part of CRM work. One result I can share from that work is +35% WhatsApp engagement after HubSpot migration. When you plan your own rollout, budget time for number formats, ownership rules and follow-up templates as well as the connection itself. If you’d like a second pair of eyes first, I offer a free review of your form-to-CRM lead flow. It’s also one part of a lead-flow review you can run yourself.
FAQ
Can you integrate WhatsApp with HubSpot?
Yes. HubSpot has a native WhatsApp channel for Marketing Hub and Service Hub Professional and Enterprise. It connects a WhatsApp Business Account to the conversations inbox or help desk. Accounts on other tiers can use third-party apps from the HubSpot App Marketplace.
Is the HubSpot WhatsApp integration free?
There’s no separate add-on fee, but it needs a Pro or Enterprise Marketing Hub or Service Hub subscription. HubSpot limits template messages to 1,000 per month, and Meta charges per delivered business message by category and country. As of October 2026, each number gets 1,000 free service messages per month.
Can I use WhatsApp coexistence with HubSpot?
Yes. Coexistence lets one WhatsApp Business number work in the WhatsApp Business App and HubSpot at the same time, with two-way sync. HubSpot imports the last 180 days of history. Templates can only be sent from HubSpot, and voice notes only from the phone.
Can I connect my personal WhatsApp number?
No. Meta’s rules require a WhatsApp Business account. You can convert a personal account to a WhatsApp Business account first, then connect that number.
Why do WhatsApp chats show as “Unknown visitor” in HubSpot?
HubSpot associates a chat with a contact only when the sender’s number exactly matches the contact’s Phone number or Mobile phone number. Store numbers in full international format so they match.
